Tripepi Smith is a California-based marketing, technology and public affairs firm seeking to revolutionize communication and marketing in the local government world. We hire thoughtful people with diverse skills who can strategize and deliver on the communication needs of our clients.
Although we are California-based, Tripepi Smith has no office and offers a 100% work-from-home (“remote”) environment. This position, however, will require regular in-person work at the home offices of the CEO and CFO (husband and wife team), as well as some onsite client visits and in-person networking events/conferences. There are also opportunities to get to know your other teammates, at our three-times-per-year Team Days, where we learn from one another, grow our personal relationships and tackle project work side-by-side.
Our work is mostly for local government public agency (cities, counties, water districts, special districts) clients. The ideal candidate will be able to manage the day to day tasks of the President, support short-term and long-term Firm goals, make decisions on priorities, and effectively communicate with the internal team and external business partners. The CEO is busy, works a range of hours and days and will need someone who can take a call at all hours.
Additionally, the separation between the work life and personal life of the CEO does not exist. As such, there are elements of this job that will require more humble personal assistance services. Additionally, maintaining strict confidentiality and trust with the CEO will be paramount.
Core Job Functions:
- Manage professional and personal correspondence and scheduling for the President including agendas, mail, email, phone calls, client management, and other company logistics, while demonstrating the ability to prioritize sensitive items
- Ensure the CEO is present and ready for client meetings and calls and that he has received sufficient information to arrive at the right place, at the right time and with the right information
- Coordinate complex scheduling and calendar management
- Arrange and manage travel logistics and activities for the entire team of 65 staff, including accommodations, transportation, and meals (approximately 150 hotel stays and 50 flights per year)
- Provide administrative support, such as presentation creation, spreadsheet creation, and maintenance of filing system and contacts database
- Manage deadlines for the President specific to contracts and other items needing his signature/approval
- Track on the President’s projects and initiatives to ensure expectations are met
- Attend regularly scheduled meetings and video conference calls with the President to track on operations
- Work within internal platforms to generate monthly financial reports and other data analytics
- Organize team communications and plan company and client events at off-site locations
- On occasion, complete personal errands on behalf of the President
- Maintain professionalism and strict confidentiality with all materials, discussions and intellectual property

Qualifications:
- Ability to maintain confidentiality of information related to the company and its employees
- Ten or more years of experience in an administrative role supporting leadership
- Excellent written and verbal communication skills
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
- Proficiency with office productivity tools and an aptitude for learning new software and systems
- Flexible team player, willing to adapt to changes and unafraid of challenges
- Extra consideration for experience and/or demonstrated interest in the local government sector: civic engagement, public administration, public policy and/or civic technology
- Must reside within 15 miles of Mission Viejo, California

Compensation
$70,000 to $100,000 annually, depending on experience
